Terms of Service

These terms describe responsibilities and product boundaries for Credential Loom accounts and subscriptions.

1. Agreement and eligibility

These Terms govern access to Credential Loom's websites, applications, and related services. Credential Loom is intended for adults managing professional credentials. An organization representative must have authority to act for the organization.

These Terms were last updated on October 7, 2026. Users are presented with the current Terms when registration is made available.

2. Service and professional responsibility

Credential Loom helps professionals organize CE activities, professional licenses, renewal dates, certificates, reports, reminders, imports, and permission-based organization access.

Credential Loom does not automatically guarantee:

  • license compliance or renewal approval;
  • board acceptance of a course, credit, certificate, or report;
  • the accuracy or currency of user-entered requirements; or
  • submission to a licensing authority unless an expressly identified, verified reporting integration is operational.

Users remain responsible for checking authoritative sources, reviewing their records, meeting deadlines, and making required board submissions. Credential Loom does not provide legal, licensing, accounting, or professional advice.

3. Accounts and security

Users must provide accurate account information, keep contact details current, protect passwords and authentication factors, and promptly report suspected unauthorized access. Supported authentication may include email/password and Google. Credential Loom does not collect a user's Google password.

Users may not share an account to defeat ownership, permission, seat, plan, or audit controls. Credential Loom may require email verification or multifactor authentication for security-sensitive actions.

4. User-supplied records and documents

Users retain their rights in records and files they provide and grant Credential Loom the limited permission needed to host, validate, scan, process, display, back up, export, and delete that content to provide and secure the service.

Users must have authority to provide their content. They must not upload patient or clinical information, malware, deceptive credentials, third-party account passwords, executable or unsupported files, or records they are not authorized to possess.

Automated extraction produces editable proposals, not verified facts. Users must review imported values. Credential Loom does not silently overwrite CE records or treat an upload as board-accepted.

5. Professional portfolios and organizations

A professional retains the canonical personal portfolio and may belong to multiple organizations. Membership, an invitation, or an employer-funded subscription does not transfer ownership or automatically disclose portfolio information.

Organizations receive only the scopes a professional explicitly grants. The professional may revoke access. Removing an employee or ending a seat does not delete the professional's personal CE history. Organization administrators must use viewed or exported information lawfully and may not claim Credential Loom certified compliance.

6. Subscriptions, renewals, cancellation, and refunds

Paid plans use Stripe-hosted Checkout and billing tools. The Checkout screen states the price, interval, included features, seat limit, taxes where applicable, renewal date, and cancellation terms. Credential Loom does not store complete payment-card numbers.

Subscriptions renew until canceled. Supported cancellation is available through Stripe's Customer Portal and ordinarily takes effect at the end of the current paid period. Cancellation does not delete professional or organization records. Payment failure may restrict paid features after any disclosed grace period without immediately deleting records.

Except where required by law or expressly stated during Checkout, fees are non-refundable after the paid period begins. Suspected duplicate or erroneous charges should be reported through secure support.

7. Third-party services and guided imports

Guided APA, CE Broker, CME Passport, and other provider workflows use files the user downloads and supplies. Credential Loom does not collect provider passwords, scrape authenticated provider accounts, imply an official partnership, or claim automatic synchronization where none exists.

Hosting, authentication, storage, email, billing, scanning, and backup providers have their own terms and may change or become unavailable.

8. Acceptable use

Users may not use Credential Loom to:

  • submit patient or clinical records;
  • upload malicious, unlawful, deceptive, or unauthorized content;
  • defeat rate limits, authorization, organization consent, billing, or security controls;
  • impersonate another person or misrepresent credentials; or
  • interfere with the service, other accounts, or provider systems.

Credential Loom may quarantine content, revoke sessions, rate-limit activity, restrict a feature, or suspend access when reasonably needed to protect users, data, the service, or third parties.

9. Service availability and support

Credential Loom may update, suspend, or discontinue features for security, reliability, legal, or product reasons. Planned and beta features are not commitments to deliver.

Standard support is reviewed Monday through Friday, 6–8 p.m. Eastern, excluding holidays. Credential Loom targets, but does not guarantee, an initial response within two business days and does not promise 24/7 human support.

10. Export, suspension, termination, and deletion

Users may request export, deactivation, or deletion through authenticated workflows. Subscription cancellation, account deactivation, organization removal, and deletion are separate actions. Deletion requires identity and ownership verification and is subject to the approved retention schedule, backup expiration, security or legal holds, and billing or tax obligations.

Credential Loom may suspend or terminate access for serious or repeated violations, security risk, nonpayment, or legal necessity, subject to applicable law and the final reviewed notice process.

11. Warranty and liability limitations

Credential Loom is an administrative organization tool. It cannot guarantee uninterrupted availability, error-free imported data, acceptance by a regulator, or a successful license renewal. Users should keep copies of records needed for professional obligations and verify information with authoritative licensing sources.

The final binding warranty disclaimers, liability limits, indemnification terms, dispute process, governing law, and venue require owner/legal approval before these Terms become effective.
